Privacy Statement

OneStaff Limited is committed to adhering to the requirements laid down by the Privacy Act 1993 in order to ensure that any information provided to us by a candidate, client, or third party is kept and used for lawful purposes only.
 
The Privacy Act mandates that personal information may only be collected for a lawful and necessary purpose directly from the person whom it relates to and for such information only to be used with that individuals consent.
 
 

Collection of personal Information 

OneStaff Limited will collect personal information about you if you become a potential candidate seeking placement as a temp/contractor or employment on a part-time or full-time basis. This information will be collected so as to enable the OneStaff to assist you in possible job placement with its clients.
 

How will OneStaff collect your personal information

OneStaff Limited will collect personal information from you in a number of ways:
 
1. When you complete a registration form (whether in paper or electronic format) and submit that to us;
2. When you supply us with your Curriculum Vitae (whether in paper or electronic format);
3. Any information you provide when you attend an interview with OneStaff; and
4. When you supply us with any other information (whether verbally or in writing) at any stage of you being listed with OneStaff as a candidate.
 
Personal information will also be collected when:
 
We receive feedback on you from a nominated reference 
We receive the results of any medical or competency test that relates to you;
We receive feedback on your performance whilst on assignment with OneStaff (regardless of whether this is positive or negative);
We receive notification of any complaint about you or workplace accident that you have been involved in;
We receive an application (regardless of form) from you in response to a job placement advertisement; and
We obtain any information about any investigation, inquest, inquiry, litigation or prosecution that you are involved in.
We conduct Internet searches using search engines, social media and other public forums 
From relevant regulatory bodies, educational institutes or government agency sites with your written consent.

 

Use of personal information

Upon authorised collection of your personal information by the above named means, you authorise the Company to use your information in connection with the following:
 
Your suitability for employment/or placement (in whatever capacity);
Reference checking;
Assessment of your ongoing performance and prospects;
Performance Appraisals;
Payment for work you may have completed;
Follow up referrals for further work;
Checking for work availability;
Any test or assessment you may be required to undergo i.e. medical tests or assessments;
To enable us to identify any specific training needs or workplace rehabilitation;
Any insurance claim or inquiry that requires disclosure of your personal information;
Our handling of any complaint, investigation or inquiry of which you are or have been involved in; and
In order to fulfil any specific legal requirements that necessitate disclosure of your personal information.
 

Disclosure of Personal Information to Third Parties

Any information supplied to a third party by OneStaff Limited regarding a candidate is done so on a strictly confidential basis. Except where authorised, or required by law, personal information shall not be disclosed to any third party without the candidate’s consent.
 
Any confidential information provided by a candidate or an authorized third party to OneStaff Limited may be accessed by any agent, employee or affiliate of OneStaff in order to assess a candidate for suitability.
 
OneStaff Limited may disclose this information to:
Any potential or actual client of OneStaff;
Referees;
Our Insurers;
Any professional association or registration body that has a proper interest in the disclosure of your personal and sensitive information;
The Accident Compensation Corporation;
Contractors and suppliers e.g. computer database, IT and website agents; and
Any other person or party with a lawful entitlement or your authorisation to obtain the information.
 

Access of Information 

Subject to the exceptions laid down by the Information Privacy Principles in the Privacy Act, you have the right to see and obtain a copy of any of the personal information OneStaff holds about you.
Any such request will be dealt with by OneStaff in a reasonable and practicable timeframe without undue delay. If after reviewing the information we hold about you, you are able to establish that some or all of that personal information is not accurate, complete or up to date we will undertake steps to correct it or any part of it so that it is accurate, complete and up to date. However, should we disagree, then you may request us to place a statement from you with that information stating why you feel it is not accurate, correct or up to date.
 

Electronic Transactions

OneStaff takes all reasonable steps to keep personal information secure, accurate and up to date. It is important that you understand that there are risks associated with use of the Internet and you should also take all appropriate steps to protect your personal information. 
 
Sometimes, we collect personal information that individuals choose to give us via online forms or by email. For example, when individuals:
 
ask to be on an email list such as a job notification list;
register as a site user to access facilities on our site such as a job notification board;
make a written online enquiry or email us through our website;
submit a resume by email or through our website;
make a job application to us through an external job board or website;
follow and communicate with us via social media such as LinkedIn, Facebook and Snapchat.

Direct Marketing

OneStaff may use relevant personal information for the purposes of direct marketing. We may use your information when marketing you to clients or sending you OneStaff related marketing information and updates, except where you have specifically requested we don’t. We market to Candidates and Clients using a variety of methods including email alerts, phone, SMS, print and verbally.
 
We provide Candidates and Clients the option to opt out of receiving marketing material from OneStaff. Upon receipt of this request their marketing preferences are updated on our systems.
If you do not wish to have your personal information used for direct marketing purposes, you may contact your Recruitment Consultant and request not to receive direct marketing communications from us, at which time your marketing preferences will be updated on our systems.
 

Complaints procedure

If you are making a complaint about our handling of your personal information, it should first be made to us in writing. You can make complaints about our handling of your personal information to privacy@onestaff.co.nz
When we receive your complaint, we will take steps to confirm the authenticity of the complaint and the contact details provided to us to ensure that we are responding to you or to a person whom you have authorised to receive information about your complaint. Upon confirmation we will write to you to acknowledge receipt and to confirm that we are handling your complaint in accordance with our policy.
 
We may ask for clarification of certain aspects of the complaint and for further detail. We will consider the complaint and may make inquiries of people who can assist us to established what has happened and why. We will require a reasonable time to respond.
 

Acceptance

By providing personal information to us, whether verbally or in writing by whatever means then you expressly acknowledge that you have read and understood the terms and conditions outlined under our Privacy statement and as a result of this you consent to OneStaff collecting personal information about you and disclosing and using that information as set out in the above terms.
